Job Description:

  • Receiving and sending documents via express mail, making a weekly report for all couriers, and sending to the CEO.
  • Checking any upcoming emails and redirecting them to the required person/department.
  • Answering phone calls, redirecting them to the required department, and making daily call logs to be sent to the CEO weekly.
  • Welcoming and hosting visitors to the company's headquarters and connecting them with the required person/department.
  • Assist the CEO in the daily workflow.
  • Arranging and organizing meetings and appointments and handling schedules.
  • Handling email shots and similar publicity tasks.
  • Making travel arrangements and all reservations after obtaining written approval from the CEO.
  • Documents and correspondence translation related to the CEO.
  • Conduct the necessary research for business or training purposes.
  • Managing office database (hard and soft) and any needed archiving and documentation.
  • Following up on the renewal of the company's official documents.
  • Handling the company’s bills payment and purchasing of office supplies.
  • Responsible for office utilities and handling any needed maintenance.
  • Acting as an HR admin through logging daily attendance, annual leaves, mission orders, and permissions, applying the internal regulations and the labor law, recording violations, and reporting to the general manager.
  • Responsible for the recruitment process from posting jobs, filtering CVs, handling virtual and on-site interviews, sending job offers to the final onboarding, and handling employment documents.

Job Requirements:

  • Experience at least 5 years in the same or similar position.
  • Excellent English is a must.
  • Very good organizational and reporting skills.
  • Excellent communication skills, both verbal and written.
  • Time management, multi-tasking, and administrative skills.
  • Discretion and attention to detail.
  • Strong customer service skills, including handling inquiries and complaints.
  • Proficiency in Microsoft Office suite.
  • Experience in the logistics industry is a plus.
  • Bachelor's degree in Business Administration, Secretarial Studies, or related field.
